Project Support - Boston
Boston, MA

As part of the administrative support team, project support members are responsible for organizing, coordinating and prioritizing project assignments to meet the needs of project teams.

Responsibilities:

  • Act as the point of contact and provide proactive support for team and members.
  • Act as a liaison with the client and consultants.
  • Answer staff questions, be resourceful and point individuals in the right direction as needed.  
  • Provide IT support on an as needed basis for teams. i.e. format issues, computer technical issues, etc.
  • Maintain project team calendars.
  • Organize and promote team activities.
  • Distribute materials – physically and/or electronically.
  • Provide Construction Administration support such as posting of drawings, filing, logging in and distribution of Submittals, Bulletins and Document Control.
  • Coordinate project documentation – i.e. proposals, contracts, and additional services letters.
  • Type, format and proofread correspondence, including but not limited to meeting notes, agendas, and field reports, etc.
  • Coordinate travel and conference sign up.
  • Assemble presentation materials as needed.
  • Schedule meetings – reserve conference rooms and audio visual equipment, coordinate refreshments, set-up video conferencing or web based meeting software, as necessary.
  • Assemble schedules.
  • Perform basic research.
  • Enter client contacts into Deltek and link to Newforma Project Team.
  • Back up other Project Support staff.
  • Provide Switchboard relief.
  • Other duties as requested by Human Resources and Project Support Manager.

Supervisory Responsibilities:

None; however, may lead, train, or participate in work team assignments.

Qualifications:

  • College degree in design field or similar preferred.
  • Highly proficient in MS Office programs and Outlook.
  • Familiarity with Newforma, Deltek, OpenAsset, Photoshop, InDesign, and Illustrator are a plus.
  • Experience in office environment preferred.
  • Understanding of concepts, practices and procedures in the design profession are a plus.

Marketing Manager

Shepley Bulfinch—a national architecture firm with a staff of 175 across offices in Boston, Houston, and Phoenix—has just unveiled a major brand refresh. We are seeking a Boston-based Marketing Manager to oversee the five-person team that will be integral to driving our new visual identity and messaging forward.

The Marketing Manager will be vital in identifying and implementing systems—both staff and systems processes — to enhance Marketing team performance across the firm. She/he will also mentor and train other Marketing staff, specifically focused on the development and management of proposals, qualification packages, presentations, award submissions, boilerplate marketing materials, and other services and assets that support the overall Marketing and Business Development efforts of the firm. 

The Marketing Manager will report to the Vice President of Brand Strategy and work closely with our Business Development Managers across the firm as well as our Communications Manager. 

Successful candidates will be process-oriented and inquisitive—quickly becoming a knowledge expert in the firm’s markets, portfolio, and people. Applicants should enjoy overseeing frequent deadlines within an integrated workflow, be solutions-oriented, and actively identify opportunities to elevate the work of the department.

Responsibilities:

  • Work closely with multidisciplinary Principals and Project Teams across offices, as well as members of the Marketing team, to oversee the production of high-quality proposals that promote the firm’s capabilities.
  • Mastermind continuous improvement of marketing processes and procedures to advance consistency and efficiency around information management.
  • Attentively reviews and analyzes RFP/Qs and participates in pursuit planning and strategy.
  • Responsible for proposal content, award submissions, project profiles, and bios, ensuring that information is communicated clearly, reflects defined strategy, and aligns with the firm’s overall brand—including graphic and messaging guidelines.
  • Leads some proposal meetings and interview prep sessions —including mock-up sessions—and establishes timelines and assignments to ensure deadlines are met.
  • Employs quality assurance practices prior to team review and submission.

Qualifications:

  • 5+ years of marketing experience for professional services, preferably within the AEC industry
  • Experience managing others
  • Keen graphic eye
  • Highly proficient in InDesign, Illustrator, Photoshop, and PowerPoint
  • Familiarity with Deltek and OpenAsset preferred
  • Understanding of concepts, practices, and procedures in the design profession
  • BS/BA in Marketing, Communications, English, Journalism, Design, or Business is preferred

Interior Designer

Interior Designer

We are seeking an intermediate level interior designer to join our practice who thrives in a highly creative and collaborative environment. Responsibilities include participation in all phases of a project including but not limited to conceptual design, space planning, architectural interior detailing – including millwork and RCPs, development of finish and furniture concepts, and writing furniture specifications. Knowledge of lighting is a plus. Additionally, this role includes the opportunity to lead and mentor internal team members, and communicate with clients.

Summary:

Individuals who join the firm in this role must be interested in developing into architects or interior designers in the long term, they will be encouraged to transition to a project team after 1 or 2 years on the IT team.

 

Responsibilities:

  • Provide outstanding customer service by addressing help desk requests in a timely and positive manner
  • Communicate clearly, appropriately, accurately and effectively across all levels of staff
  • Provide day-to-day hands-on support, instruction, and guidance on the use of design software including: Autodesk Revit, Autodesk AutoCAD, Autodesk 3D Studio Max, Sketch-Up, Rhinoceros, Maxwell, Adobe Creative Suite, Microsoft Office, and other related tools & utilities
  • Investigate new technologies including, digital fabrication, data visualization, energy modeling, virtual reality, process automation, etc.
  • Assist and lead/coordinate appropriate in-office training sessions as needed
  • Develop and maintain best practice strategies, standards, and documentation
  • Facilitate technological collaboration between project teams, consultants, and clients
